How to hire students to work on-campus
Step 1: Post your on-campus job on Handshake

Step 2: Hire or re-hire a student employee
Important notes before you begin your hire card:
- The student MUST be approved by the District before they can begin work. Once the hiring process has been completed, both you and the student will receive an email confirming their hire status. Students cannot begin working in your department until that process is complete (even if they are a re-hire), which will take at least 2 weeks to complete.
- The student MUST be currently enrolled in the term that you are hiring them for. They can't be waitlisted or just planned, but actively enrolled. Please do not submit a hire card for a student who is not enrolled, as they will not be processed. Students must be enrolled in at least one (1) unit to be eligible, unless they are Federal Work Study. If so, then see below for unit requirements.
- Be sure to use InSite email addresses for all individuals on the hire card. Please enter the InSite email for the student, your manager/dean, and yourself. If you enter another address other than @insite.4cd.edu or @email.4cd.edu, the hire card will not be processed. All emails received during the hiring process will come from forms@losmedanos.edu.

Is your student Federal Work Study eligible?
If you don't know, please submit a Request to Hire a Federal Work Study Student form to determine which of your students are eligible.
Eligible Federal Work Study students must be enrolled in
- 6 units during Fall/Spring semester
- 3 units during Summer semester
If your student is determined to be eligible, you and your student will need to complete the Federal Work Study Contract before you begin your Hire Card.

1. Enter the student's full name & InSite email address, and your full name & InSite email. Please double-check that both email addresses are InSite and spelled correctly.
2. Complete the Position Information.
- Be sure to enter the student's full name & Student ID number correctly.
- Be sure to verify that the student is currently enrolled in the term that you are hiring them for. They cannot be waitlisted or just planned.
- Be sure to click the boxes for all terms that the student will be working.
- For the start date, be sure that it is AT LEAST two weeks from the date of your submission. The hiring process will take no less than two weeks, and could be longer if there are delays in signatures from the manager and the student. The end date will be June 30.
- Be sure to enter your PID correctly.

The Employment Office will verify that the student is enrolled. If the student is waitlisted or not enrolled, then the hiring process will not be completed.
After the Student Employment Office has confirmed that the student is enrolled, the form will then be routed to Financial Aid if you have indicated that the student is Federal Work Study eligible. Otherwise, the card will route to the student's InSite email.

The student must now complete and sign the hire card.
If the student is a re-hire (has worked on the campus in the last 6 months), they will be approved and routed to the manager.
If the student is a new hire, they will need to complete the new hire paperwork packet and submit it to the Student Employment Office, along with their I-9 identification. The student will receive an email from the Student Employment Office requesting these items and asking them to book an appointment. After the student has completed the paperwork packet & provided their I-9 identification, the hire card will route to the manager's InSite email for their approval and signature.

The manager verifies the hire and signs the card, which will then be routed to LMC payroll.

Once the student's hire card has been approved by LMC payroll and DO Business Services, the student, the manager, and the initiator will all receive an email indicating that the student is now eligible for work. Students are not to begin work on campus until this final email is received.
